Getting enquiries but few customers? Review lead quality
Practical guidance from the NYS Softech team.
NYS SOFTECH EDITORIAL • LEAD GENERATION
A growing enquiry count can look encouraging while the sales team struggles to find suitable customers. Before changing the audience or stopping the campaign, trace the enquiry journey. Lead quality is shaped by the promise in the ad, the page, the questions you ask and what happens after submission.
Agree what a suitable enquiry looks like
Ask the people handling sales to describe a useful enquiry in plain language. It might require a relevant service, a supported location, a minimum order or a realistic project timeline. Record which conditions are essential and which can be discussed later. This avoids changing the definition every time a report is reviewed.
Separate unsuitable enquiries from uncontacted ones. A person who never received a response is not evidence that the campaign attracted the wrong audience. Keep simple statuses for new, contacted, qualified, unsuitable and duplicate enquiries, with a short reason where useful.
Review the promise before the targeting
Compare the ad with the offer the sales team actually provides. An unclear promotion can attract people looking for something you do not sell. If the service has important eligibility conditions, explain them early in clear language. Do not hide essential information simply to increase the number of submissions.
Check that the landing page continues the same conversation. It should explain the scope and next steps before asking for contact details. A strong visual does not compensate for an offer that changes between the ad, page and first sales call.
Use questions that support a conversation
Ask a small number of questions that help the team prepare a useful reply. For a website project, the existing site and type of support needed may be useful. For a bulk product enquiry, quantity and location may matter more. Choose fields for the business process instead of copying another company’s form.
Make the wording easy to answer on mobile. Avoid lengthy required free-text fields unless the information is essential at the first stage. A question that improves qualification should also help a customer understand whether the service fits.
Make follow-up part of the campaign
Assign ownership of new enquiries and agree how the first response will be handled. Confirm that form notifications arrive and that call or messaging routes work. Review whether your team has enough context to answer without asking the customer to repeat every detail.
Keep contact attempts and outcomes visible. When an enquiry is unsuitable, record a useful reason such as an unsupported service or location. Avoid vague labels that provide no direction for improving the campaign. A short shared log can be more valuable than a report that stops at the submission count.
Review quality alongside cost
Compare media spend and management work with qualified opportunities and sales outcomes where reliable data is available. Cost per lead can describe acquisition efficiency, but it cannot explain the value of every enquiry. A cheaper submission is not automatically a better business result.
Use patterns in the evidence to choose the next change. Repeated misunderstandings may require clearer copy. Suitable enquiries with poor response rates point to an operational issue. Test a manageable change and note when it went live, so the team can review its effect without guessing.
